5 tasks every Australian tradie should be automating

If you're a tradie running your own business, you're probably spending too much time on admin that has nothing to do with the work you get paid for.

Quoting. Invoicing. Following up leads. Answering the same questions over and over. Missed calls that turn into lost jobs.

None of that makes you money, and most of it doesn't need doing by hand any more. Here are five tasks to stop doing yourself.

1. Quoting

This is the big one. Plenty of tradies spend hours a day putting quotes together: pulling the details together, writing it up, formatting it and sending it out. Then half the time the customer goes quiet anyway.

One of our clients, a food trailer manufacturer, had exactly this problem. Quotes had no consistent format, and each one took around 20 minutes to get out the door.

2. Following up leads

Customers usually go with whoever gets back to them first, so a reply hours later, or never, hands the job to a competitor.

Automatic lead follow-up fixes this. When someone calls, fills in your form or sends a message, they get an instant reply while you're still on the roof. It tells them you got their message and when you'll be in touch, so they don't keep ringing around.

3. Invoicing

Job's done. Now you've got to open the laptop, build the invoice, remember what you charged for, and chase payment when it doesn't arrive on time.

Invoicing can start the moment a job is marked complete: the right line items go in, the invoice goes to the customer, and unpaid invoices get a reminder without you lifting a finger. Many setups connect to Xero or MYOB so your books stay tidy too.

The less time between finishing a job and getting paid, the better your cash flow.

4. Answering the same questions

What areas do you service? How much does it cost? How long does it take? Do you work weekends?

If you're answering these by phone or text twenty times a week, an automatic reply or a simple FAQ can take most of them off your plate. You set it up once and it keeps working.

The calls you actually need to take, from people who are ready to book, still come through. You just stop spending time on the rest.

5. Your website

Most tradies either have no website, an old one, or one that cost a lot and took months to build.
